This position will be stationed at ODOC Headquarters in Salem, Oregon and is approved to work a hybrid schedule of in-office and remote work. Your Role Provide confidential support and perform administrative duties for the Professional Development Administrator and staff. The primary focus of this position is to ensure that both the immediate and long-range functions of the central Professional Development Unit office in Salem are conducted efficiently, productively, and with a focus on customer service. The incumbent in this position ensures that sufficient resources are available to training section staff according to the needs of the various training programs and support systems statewide. Minimum Qualifications: Three (3) years of clerical/secretarial experience which included: one (1) year at a full performance level performing typing, word processing, or other generating of documents; and lead work responsibility or coordination of office procedures. Courses or training in Office Occupations or Office Technology may be substituted for up to one year of the clerical/secretarial experience. No substitution will be made for the one year at the full performance level. Requested Skills: Manage Microsoft Outlook calendars, events, schedule and arrange meetings Research, compile information, and report data Prepare reports, narratives, statistics, forms, memos, charts, graphs, tables, surveys, and correspondences Maintain personnel files with confidentiality and discretion Coordinate and track staff training requirements and performance evaluation deadlines Provide excellent customer service; telephonically, and electronically Schedule travel arrangements for staff across the State Inventory supplies, equipment, and materials Research products, prices and trainer needs to assess the most cost-effective approach to purchase Purchase, receive, and distribute supplies and equipment Develop and implement program policies and procedures Assist with monitoring PDU budget Order office supplies, prepare monthly card reconciliation documents and coordinate training registrations and payments Coordinates staff recruitments and all of the associated recruiting and new hire paperwork, identification card, building keys, pictures and computer access Read and review all mail to determines the necessary action required Arrange for repair of disabled equipment and coordinates training facility maintenance and repairs Preferred Skills: Possess a current Law Enforcement Data System (LEDS) certification Possess a State P-Card of Oregon Transaction System (SPOTs) card Possess Contract Administrator Certificate from Department of Administration Services (DAS) How to Apply: You must include a cover letter no more than 2 pages in length, answering the following: Explain how your experience would serve to accomplish the requirements of this position and the reason for your interest in this position. This position functions under considerable pressure through changing deadlines, detailed tracking, and constant interruptions.
