The Project Coordinator serves as a central point of organization and communication, ensuring projects move from planning to delivery while supporting internal teams and clients. Responsibilities Support projects from sales handoff through successful delivery Keep projects organized, documented, and progressing according to plan Anticipate risks and address potential issues early Coordinate and lead internal and client meetings, including kickoffs, status updates, and wrap-ups Prepare agendas, guide discussions, and track action items Ensure clarity around ownership, timelines, and next steps Schedule Professional Services team members and Sales Engineers to support project delivery and revenue goals Coordinate vendors and third-party partners, tracking deliverables and timelines Adjust schedules and priorities as project needs evolve Provide consistent, proactive updates to clients and internal stakeholders Translate technical progress into clear, understandable information when needed Escalate risks or issues in a timely and appropriate manner Track scope, timelines, and budgets Support weekly revenue forecasting and utilization tracking Identify risks to delivery or profitability and communicate them early Perform final reviews to confirm all deliverables have been completed as expected Ensure project documentation is accurate, complete, and current Follow up until projects are fully closed and documented Maintain project boards, work-in-progress tracking, sales order conversions, and inventory audits Keep project systems clean, reliable, and up to date Support scope requests and prioritize Sales Engineer work appropriately Skills Strong organizational and time-management skills Accountability to deadlines and consistent follow-through Proactive approach to problem-solving Ability to coordinate across teams and manage follow-ups Clear written and verbal communication skills Attention to detail while maintaining awareness of overall goals Adaptability in a fast-paced, changing environment Client-focused, professional, and collaborative working style 1–3 years of experience in a Project Coordinator, Project Manager, or similar role Experience in a fast-paced or client-facing environment (MSP experience a plus) Familiarity with tools such as Microsoft Teams, ConnectWise, MS Planner, or similar platforms Experience managing multiple projects simultaneously Understanding of project management fundamentals and resource planning Interest in IT services and professional services delivery Company Overview New Charter Technologies operates as a Managed Service Provider (MSP).
