Legal Secretary/Paralegal

Job Summary We are seeking a highly organized and reliable Legal Secretary/Paralegal to join our small criminal-defense firm. Experience is preferred, but entry-level candidates are also encouraged to apply as training may be provided to the right candidate. The ideal candidate will be a team-player with strong customer service skills. This role is expected to expand and advancement opportunities available to transition the role into paralegal and eventually, firm manager. This role offers an excellent opportunity for a professional with legal and/or secretarial experience to contribute to the growth of a small firm and create their own ideal role and professional space. This role is 100% remote, but if the candidate wishes, they may meet with the attorney in person at our Gilbert Office. Pay range is $50,000-$60,000 annually. Responsibilities • Prepare and organize legal documents, contracts, pleadings, and correspondence with precision and attention to details. File documents after receiving attorney final approval. • Manage case files using document management system - Mycase; ensure all files are up-to-date and properly organized. • Assist attorneys with project management tasks related to ongoing cases or legal projects, predominately communications with clients and third parties such as law enforcement and forensic experts. • Review documents for accuracy and completeness; proofread legal drafts for clarity and correctness. • Transcribe dictations and prepare summaries of legal proceedings or client interviews. • Support administrative functions including data entry, filing, scheduling appointments, and maintaining calendars. • Communicate professionally via phone with clients, vendors, or court personnel following proper etiquette. • Assist with evidence review processes for criminal litigation. • Maintain confidentiality of sensitive information while adhering to firm policies and legal standards. Requirements • Proven experience in customer service, ideally within an office and/or law office setting; familiarity with legal case management and filing software such as MyCase, Clio, Lawpay, Efile-AZ,and ECR preferred. • Excellent organizational skills with the ability to manage multiple projects simultaneously in a fast-paced environment. • Ability to analyze complex legal information efficiently. • Exceptional writing skills for drafting documents and correspondence; keen proofreading abilities. • Familiarity with document management systems is highly desirable. • Strong administrative skills including data entry, filing systems, transcription services, and clerical support tasks. • Effective communication skills with professional phone etiquette; ability to interview clients effectively. • Ability to work independently and remotely with minimal supervision while maintaining accuracy under tight deadlines.
