About the Role We are seeking a highly motivated and organized Executive Assistant to provide administrative support to the SVP/CFO, Global Commercial Services. As a key member of our team, you will be responsible for managing calendars, coordinating travel arrangements, facilitating meeting administration, and ensuring timely preparation and processing of expense reports and invoices. Your exceptional organizational skills, strong interpersonal skills, and ability to work effectively with all team members and key partners will make you an invaluable asset to our team. Key Responsibilities Manage calendars on a daily, weekly, and monthly basis to ensure seamless scheduling and coordination. Coordinate meeting administration, including in-person, telepresence, and WebEx meetings, to facilitate effective communication and collaboration. Arrange domestic and foreign travel, including air, hotel, car transfers, and meeting agendas, to ensure smooth and efficient travel experiences. Facilitate the organization of colleague engagement events and team-building activities to foster a positive and inclusive work environment. Procure laptops, office supplies, and office space, and manage the procurement process, including researching and approving invoices and resolving standard accounting errors. Maintain organizational charts and department distribution lists to ensure accurate and up-to-date information. Ensure timely preparation and processing of expense reports and invoices, reviewing expenses submitted to leaders for approval and highlighting any out-of-policy spend. Coordinate facilities management responsibilities to maintain a safe and efficient work environment. Manage general follow-ups and generate reminders to effectively meet deadlines and commitments. Assist with special projects and initiatives as requested to support the team and drive business results. Communicate effectively with all team members and key partners of all levels, working closely with other executive assistants on office operations to ensure seamless collaboration. Essential Qualifications Strong and highly developed interpersonal skills, with the ability to build effective relationships with colleagues and stakeholders at all levels. Strong process orientation and analytical/problem-solving skills, with the ability to think critically and make informed decisions. Effective verbal and written communication skills, with the ability to articulate complex ideas and concepts in a clear and concise manner. PC and basic OS skills, including Word, Excel, and PowerPoint, with the ability to learn and adapt to new technologies and systems. Preferred Qualifications Previous experience as an executive assistant or in a similar administrative role, with a proven track record of providing exceptional support and driving business results. Knowledge of financial management principles and practices, with the ability to analyze and interpret financial data and make informed decisions. Experience with calendar management, travel coordination, and expense reporting, with the ability to manage multiple priorities and deadlines in a fast-paced environment. Strong organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously. Compensation, Perks, and Benefits We offer a competitive salary range of $24.05 to $48.10 hourly, depending on experience and location.
