As a Business Executive Assistant, you will play a critical role in ensuring the smooth operation of the CEO's schedule, communications, and projects. About the Role This is a 100% remote, full-time opportunity that offers the flexibility to work from anywhere. As a Business Executive Assistant, you will be responsible for managing email communications, scheduling appointments, organizing data and files, and providing reports and updates on various projects. You will also be expected to provide general administrative assistance to the CEO, including scheduling personal appointments and making travel arrangements. Key Responsibilities Manage the CEO's inbox and schedule meetings, ensuring timely and effective communication. Provide weekly budget and schedule reporting for ongoing projects, ensuring accurate and up-to-date information. Check on marketing campaign metrics, summarize and report on these, and provide insights for improvement. Report on weekly Asana status updates, ensuring projects are on track and issues are addressed. Clean and maintain the organization of Google Drive, ensuring easy access to files and documents. Provide general administrative assistance to the CEO, including scheduling personal appointments, grocery deliveries, and other tasks as required. Essential Qualifications To be successful in this role, you will need: Prior experience working as an Executive Assistant, preferably in a real estate or related industry. Strong English communication skills, with the ability to be the first point of contact for the CEO's inbox. Proficiency in Google Suite, including Sheets and Docs, with the ability to learn new software and tools. Ability to navigate new (but simple) software, such as Hubspot and Asana, and provide basic troubleshooting. Strong technical proficiency, with experience working in a fast-paced tech environment. Preferred Qualifications We are looking for candidates with: Experience working in real estate or a related industry, with a strong understanding of the lingo and concepts. Technical proficiency in tools such as Excel, with the ability to clean up and migrate data into Google Sheets and add new functionality. Experience setting up integrations in Hubspot and other marketing automation tools. Ability to read, compile, and report on data from market reports, providing insights and recommendations. Skills and Competencies To succeed in this role, you will need: Excellent communication and interpersonal skills, with the ability to work effectively with the CEO, other team members, and external stakeholders. Strong organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously. Proactive and problem-solving approach, with the ability to anticipate and address issues before they become major problems. Technical skills, including proficiency in Google Suite and other software and tools.
